As part of a position replacement, AW² is looking to recruit an Executive Assistant to join its team, working under the supervision of the HR Director, the Finance Director, and the General Management. The position is based in Paris, and the candidate should be available to join the AW² team as soon as possible.
The Executive Assistant will be responsible for organising all travel arrangements—both in France and abroad—for the partners, directors, and team members. This includes identifying needs, coordinating internal and external requests, handling administrative formalities, processing invoices, managing bookings (flights, trains, taxis, hotels, etc.), and updating the schedules of all individuals concerned.
He/She will also provide support in the general administrative management of the agency, in particular: collecting supplier invoices, obtaining approvals from directors, preparing payments, and performing bank reconciliations for the Partners’ and Directors’ credit cards.
Additionally, the Executive Assistant will handle the filing of job applications, process responses, and maintain the candidate database following the management’s review of applications.
The Executive Assistant will also act as a backup for the Office Assistant during the day and in her absence, covering front-desk duties (in-person and phone reception) as well as general office logistics (orders and supplier management, IT maintenance, office maintenance, etc.).
Profile required:
Degree equivalent to Bac +2 (two years of higher education) or equivalent qualification.
5 to 8 years of professional experience in a similar position, ideally in a sector related to architecture, design, or culture.
Excellent command of the French language. Fluent English. Any additional language is an asset.
Excellent command of Microsoft Office Suite. Knowledge of other software is a plus.
Strong attention to detail, adaptability, flexibility, and clear, concise communication.
Excellent organizational, planning, and problem-solving skills.
Ability to work independently, take initiative, and manage multiple priorities.
Excellent interpersonal skills, with the ability to work collaboratively and maintain positive relationships with internal and external stakeholders.
